Office/Facility Manager

Assists in the daily operations of managing our business office by managing servicing vendors, supporting our local staff, and manage the overall health of our facility Performs the following duties personally or through subordinate supervisors.

  • Inspects and evaluates use of space and facilities.
  • Analyzes HVAC systems, computer network wiring, lighting, and other major office factors.
  • Plan, test, remediate for Disaster Recovery events.
  • Oversees under the supervision of the Disaster Recovery Emergency Coordinator office closure and reopening.
  • Plans, budgets, and schedules office modifications including cost estimates, bid sheets, layouts, and contracts for existing or new office(s).
  • Performs audits to support office planning.
  • Develops long range plans, conceptual designs, and capital outlay requirements and documentation of facility.
  • Formulates and coordinates program specifications, requirements for proposals and contracts, and associated documents (vendors – cleaning company, vending, pest control, lawn maintenance, storage and security)
  • Acts as liaison to public utility, environmental, and energy agencies.
  • Inspects construction and installation progress to ensure conformance to established specifications.
  • Reviews real estate contracts for compliance with government specifications and suitability for occupancy.
  • Oversees the coordination of office space allocation, layout, and communication services.
  • Oversees and directs maintenance of office repair, and preventive maintenance. Conducts basic maintenance projects.
  • Works closely with our IT/IS department in multiple areas, physical security, hardware acquisition, vendor relations
  • Oversees the mailroom operation and general office needs of the organization including retrieving mail, logging returned mail, daily processing of mailings.
  • Oversees reception and all assigned duties.
  • Oversees copy machine usage-logs meter reads for all copiers. Replenishes equipment supplies at copier as needed.
  • Inventory Control – inventory and ordering of coffee supplies and office supplies. Replenishes the employee break room supplies and executive area.
  • Assess and oversees the security needs of the organization and its facilities including monitoring of physical access system (Suite Card Access).
  • Prepares and presents basic operational reports of phone system, building security and postal reports.
  • Oversees the termination of office access of an employee that is no longer employed with HS1 Medical Management, Inc or affiliated entities.
  • Manages relationship with external vendors.
  • Ensures integrity of data entered into company systems and/or databases.
  • Ability to safely and successfully perform essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain reasonably regular, punctual attendance consistent with the ADA, FMLA, other federal, state, and local standards, and company attendance policies and procedures.
  • Ability to come to work and work the regular schedule and shift for the position.
  • Compliance with all personnel policies and procedures.
  • Perform additional duties and related essential duties as assigned.

Education and/or Experience

  • High school diploma or general education degree (GED); and five years related experience and/or training; or equivalent combination of education and experience.

Certificates, Licenses, Registrations

  • Valid FL Driver License

Supervisory Responsibilities

  • Prior supervisory experience needed.
  • While performing the duties of this Job, the employee is regularly required to use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to stand; walk; sit; climb or balance; stoop; kneel; crouch or crawl; and talk or hear. The employee must regularly lift and/or move up to 10 pounds, and frequently lift and/or move up to 25 pounds. Must be able to stoop, bend, and lift overhead on a frequent basis.
